  • Overview

    This individual completes scheduling and workforce planning for all Clinical Departments. This position must be able to balance both billing and clinical requirements for the clients and staff, and be well organized to coordinate all clinical team schedules (ABA, rehab, and psychotherapy) within each site. This position will work closely with the supervisor and scheduling teams at each location to identify appropriate scheduling templates to fit the needs of each individual department and the company as a whole.  This position requires the individual to be very detail oriented and have good customer service and communication skills. This individual will also help develop and support  the scheduling team across the company, and coordinate with the billing team to ensure the scheduling system is pulling the correct codes so  that billing opportunities are maximized.  It is also essential to possess good judgment and have excellent problem solving skills, as well as have the ability to be flexible as job responsibilities and priorities are presented in this position. As this individual works closely with client information, this position holds strict standards in confidentiality and must possess strong professional office skills. 


    • Coordinate schedules across clinical teams (ABA, rehab, and psychotherapy)
    • Communicates with management on staff/client scheduling occurrences, provides frequent summarized updates of caseload information to management
    • Create and maintain scheduling templates for each clinical department that met the needs of the clinical team while also capturing advantageous billing opportunities
    • Conduct training for new and experienced staff on the scheduling team at each site
    • Works with all sites to help with scheduling peaks and valleys
    • Works with management on workforce planning across sites
    • Communicates with billing to ensure correct codes are programed into the scheduler and billing opportunities are being maximized
    • Trains the supervisor and scheduling teams to utilize appropriate scheduling functions based on funding needs in different sites
    • Attends company meetings and trainings as required
    • Maintains a positive, professional, and pleasant attitude when working with various levels of the organization and representing Partners In Excellence
    • Responsible for maintaining current job description and position binder with all supporting documentation
    • Forwards any staff and client issues and concerns to the appropriate leader
    • Provides weekly status report to supervisor
    • Other duties as assigned


    • Minimum of 3 year experience in an office environment
    • Ability to multi-task and work within a fast paced environment
    • Ability to demonstrate dependability, consistency and tact and the ability to be a professional representative of the company as you come in contact with clients, staff, visitors and/or the general public

    Desired Qualifications:

    • Previous scheduling experience strongly preferred
    • General understanding of billing and codes
    • Bachelor’s degree
